Refund & Rescheduling Policy

Reference Imaging LLC will always make a reasonable effort to complete your project as planned.

When weather, airspace, or safety conditions prevent a flight, the first solution is usually rescheduling. Reference Imaging LLC will work with the client to find a mutually agreeable replacement date whenever possible.

Weather-related cancellations generally do not qualify for a refund unless the project is tied to a time-sensitive event that cannot reasonably be rescheduled.

All other refund requests are considered individually and are subject to approval by Reference Imaging LLC.

A 20% deposit may be required to reserve a project date. The deposit is applied toward the project’s final balance.

A date is not reserved until the required deposit has been paid and the booking has been confirmed by Reference Imaging LLC.

Once a booking is confirmed, the deposit is generally non-refundable because production time has been reserved and project preparation may have begun. Exceptions described in this policy, rights required by applicable law, and other circumstances approved by Reference Imaging LLC still apply.

Safe drone operations require suitable weather and visibility. Rain, high winds, storms, extreme temperatures, poor visibility, and other unsafe conditions may require a flight to be delayed or rescheduled.

When weather prevents a safe flight, Reference Imaging LLC will work with the client to find a mutually agreeable replacement date whenever possible.

Weather alone is not normally grounds for a refund when the project can reasonably be completed on another date.

The remote pilot in command has final authority over whether a flight can be conducted safely and legally. A decision not to fly for safety reasons will not be treated as a failure to provide the service.

Rain on a wedding day is supposed to be good luck. Unfortunately, it’s still bad luck for drone operations.

Weddings, live events, demolition work, one-day productions, and similar projects may lose their purpose if they cannot be completed at the scheduled time.

If weather or another condition outside the client’s control prevents the aerial portion of a time-sensitive project and rescheduling would no longer serve the project’s purpose, the client may receive a refund for the aerial services that could not be performed.

Work already completed and non-recoverable expenses already incurred may be deducted from the refund. Any portions of the project that were successfully completed remain payable.

If a client needs to cancel or materially change a confirmed project, the request should be sent to Reference Imaging LLC as soon as possible.

Cancellation and refund requests are reviewed individually. Approval may depend on:

• How much notice was provided
• Whether production time was reserved
• Whether planning, editing, travel, or other work has begun
• Whether permits, authorization services, rentals, travel, or other project expenses have already been incurred
• Whether the project can reasonably be rescheduled
• The amount of the project already completed

Except where this policy specifically provides otherwise or applicable law requires a refund, all refund requests are subject to approval by Reference Imaging LLC.

Every flight must comply with applicable FAA requirements, property restrictions, airspace limitations, and safe operating practices.

If airspace authorization, property access, venue rules, temporary flight restrictions, unsafe site conditions, or another operating restriction prevents the planned flight, Reference Imaging LLC will first attempt to adjust or reschedule the project.

Airspace authorization and advanced FAA review fees are non-refundable after the related review, preparation, or submission work has begun.

If the project cannot legally or safely be completed and no reasonable alternative can be agreed upon, Reference Imaging LLC will review the unused portion of the project for a possible refund.

If Reference Imaging LLC cancels a project for a reason within the company’s control, Reference Imaging LLC will first offer a mutually agreeable replacement date.

If the project cannot reasonably be rescheduled, the client will receive a refund for services that were paid for but not performed.

This does not include a safety-related decision, weather delay, airspace limitation, denied site access, or another circumstance outside the reasonable control of Reference Imaging LLC.

Payments for services already completed are generally non-refundable.

If a delivered item materially differs from the agreed written scope, the client should contact Reference Imaging LLC promptly. Reference Imaging LLC must be given a reasonable opportunity to review the concern and, when appropriate, correct or replace the affected deliverable.

Creative preferences that were not included in the agreed project scope do not automatically qualify for a refund, but Reference Imaging LLC will make a reasonable effort to find a fair solution.

Approved refunds will normally be returned to the original payment method.

Processing times may vary depending on the payment provider and the client’s financial institution. Any approved refund may exclude completed work and non-recoverable expenses that were clearly connected to the project.

Reference Imaging LLC will communicate the approved amount before processing the refund.

Nothing in this policy limits any cancellation, refund, or consumer-protection right that cannot legally be waived.

If a project agreement or service contract contains terms that are more specific to a particular project, those terms will apply alongside this policy. If the documents directly conflict, the signed project agreement will control to the extent permitted by law.
